Analyze and Prototype - A Visual Approach to Accela Software Implementation
The second stage in TML Business Services' Accela Implementation Methodology is Analysis and Prototyping
Analysis and prototyping are separate tasks that are employed together to validate assumptions and explore possibilities. TML has found that most users are unable to visualize the concepts presented during analysis and so, where possible, TML employs prototyping as a means of demonstrating these concepts.
Analysis - This stage is used to develop TML Implementation Methodology document (TIM). This document will outline every workflow, smartchoice group, application specific information and table group, fee schedule and items, inspection details and guidesheets, calendar specifications, scripting, user roles and permissions, and many other details. When completed, it will contain all of the information currently contained in your configuration, and will become a tool for validation testing and script application during later stages.
Prototyping - Prototyping is employed to validate the assumptions made during analysis. As application specific configuration requirements are documented, I prototype them in your testing environment. This allows your subject matter experts to test the assumptions we have made during the previous analysis sessions. Where necessary, changes are made to ensure the system performs in as lean a manner as possible. This visual approach also allows the casual participant to visualize complex concepts being outlined in the TIM document.
When TML leads analysis and prototyping sessions, the following are usually part of the outcome:
- Related processes are discovered - These are added to the configuration document and scheduled for prototyping and review.
- Workflow processes are modified - Unnecessary tasks are removed or combined with other tasks to lean out the process. Decision points or communication protocols are also commonly added to tasks.
- Roles and responsibilities are further defined - As the process of re-engineering the business process takes hold, hidden savings in time and cost are identified when responsibilities are placed with departments or staff that will provide the greatest value from performing them.
The analysis and prototyping procedures are repeated until you feel that the configuration document accurately reflects your agency's vision for this implementation. With this process completed, the project is ready to proceed with the Build stage.
